This policy explains how Great Hotels collects and uses personal data when you use this website or contact us. It applies to visitors, hotel owners, brokers, lenders and advisers.

2. What we collect
We collect the information you give us when you submit the enquiry form on this website:
- Your name
- Your company
- Your email address
- Your telephone number, if you provide one
- The nature of your enquiry
- The hotel name or location, if you provide one
- The content of your message
- Your acknowledgement of this policy
We also collect information you send us directly by email or telephone. Separately, our hosting provider keeps standard server logs, which record the IP address, browser type and pages requested for each visit. These are used to keep the site running and secure, and are deleted on the provider’s own cycle.
3. Why we use it, and our lawful basis
Responding to enquiries
To reply to you and to assess whether an opportunity is a fit. Lawful basis: legitimate interests, being the handling of enquiries made to us.
Assessing opportunities
To evaluate a hotel or transaction you have raised with us, and to correspond about it. Lawful basis: legitimate interests, or steps taken at your request before entering a contract.
Record keeping
To keep a record of enquiries received and of our correspondence. Lawful basis: legitimate interests and, where applicable, legal obligation.
Website operation
To keep the site running, secure and free of spam. Lawful basis: legitimate interests.
We do not use your details for marketing, and we do not sell or rent them to anyone.
4. Cookies and tracking
This website does not set cookies on your device. There is no analytics, no advertising, no tracking pixels and no third-party scripts that follow you between sites.
Because nothing is stored on your device, there is no cookie banner and nothing for you to accept or refuse. If that changes we will update this policy and ask for your consent first where the law requires it.
A cookie may be set only if you log in to the website as an administrator, which applies to our own staff and not to visitors.
5. Who we share it with
We share personal data only where it is necessary, and only with:
- Our website host and email provider, who process data on our instructions
- Professional advisers, such as lawyers and accountants, where a matter requires it
- Regulators or law enforcement, where we are required to do so by law
Where an enquiry concerns a specific hotel, we may discuss it internally and with advisers engaged on that matter. We treat enquiries as confidential and do not disclose them to third parties beyond that.
6. Transfers outside the United Kingdom
Some of our service providers may process data outside the United Kingdom. Where that happens, we rely on the UK international data transfer agreement, the UK addendum to the European Commission standard contractual clauses, or an adequacy decision.
7. How long we keep it
We keep enquiry correspondence for 24 months from your last contact with us, after which it is deleted. Where an enquiry leads to a transaction, we keep the records for as long as required by law and for the period during which a claim could be brought.
8. Your rights
Under the UK General Data Protection Regulation you have the right to:
- Ask for a copy of the personal data we hold about you
- Ask us to correct data that is inaccurate or incomplete
- Ask us to delete data where there is no good reason for us to keep it
- Ask us to restrict how we use it, or object to our use of it
- Ask us to transfer it to you or to another organisation
